For: Patient · Time: 2–5 min · Frequency: Onboarding new patient, periodic re-consent

Trigger

You received an email from your healthcare provider asking you to view or sign a document — typically a consent form, financial responsibility agreement, telehealth consent, or HIPAA acknowledgment.

Outcome

You've reviewed the document, signed (or declined), and the practice has been notified of your response.

Where

  • The email's secure link → opens /share/<token> or /contracts/view/<token> in your browser

Steps

  1. Open the email. Should come from your practice or their billing service.
  2. Verify legitimacy — same checks as the pay-online flow: sender domain, your specific name, no scammy urgency language.
  3. Click the link. Opens a secure document viewer.
  4. Read the document. Read it. Don't sign things you don't understand — if anything is unclear, call the practice.
  5. Sign or decline.
    • If signing, type your name or draw a signature where indicated.
    • Click Accept / Sign to submit.
    • You'll see a confirmation page.
  6. Save your copy. The page often offers a "Download PDF" of the signed document. Save it — you may need it later for insurance disputes or tax records.

Watch-outs

  • Read before signing. Financial responsibility agreements can include clauses like "if insurance denies, I agree to pay the full billed amount." That can be many times the negotiated rate. Ask questions.
  • The link expires. Most consent links are valid for 7–30 days. If yours is expired, ask the practice to send a new one.
  • You can't undo a signed consent through the platform. If you change your mind, contact the practice directly to revoke or modify.
  • Don't share the link. It's tied to YOUR identity. If someone else clicks it, they'd be signing on your behalf — even if accidental.
  • If you decline, do it deliberately. Some consents are required for services to be provided. Talk to the practice about alternatives if you can't agree to the terms.
