For: Credentialing Coordinator · Time: 15 min weekly · Frequency: Monday-morning planning
Trigger
It's Monday. You have 30+ open applications in various states and need to know what to push this week.
Outcome
You've moved cards across the board so the status reflects reality, identified the 3–5 apps you're personally pushing this week, and surfaced anything that's stuck.
Where
Steps
- Open Kanban. Columns: Draft → Ready → Submitted → In Review → Pending Info → Approved → Credentialed. Each card = one application.
- Reconcile reality. For each card, ask: "is this column still right?" Common drifts:
- Cards in Submitted that have actually been confirmed by the payer → drag to In Review.
- Cards in In Review where the payer asked for more info → drag to Pending Info.
- Cards in Approved where the contract is signed → drag to Credentialed.
- Identify "stuck" cards. Right-side stats per column show median age. Anything 2× the median in its column is stuck. Open it — what's blocking? Note in the card.
- Pick your top 5 for the week. Use the card's star icon to flag favorites. Filter "starred" at the top to focus.
- Schedule followups on your 5. Each card → Followups → Add. Be specific about WHO you're following up with and HOW (email, phone, fax).
- Time-block your week if you need to. The Kanban is a planning tool, not the work itself — block 2 hours per day on your actual calendar for credentialing.
Watch-outs
- The Kanban is a VIEW; the database is the truth. If you drag a card and the API call fails, the card snaps back. Watch for the toast confirmation.
- Drag-drop changes audit-log the transition. Don't drag cards "to make the board look nice" — you're creating audit entries each time. Move only on real status changes.
- You only see your own agency's applications. Every board is limited to your agency's data.
- Cards beyond Credentialed don't appear. Once an app is credentialed (the terminal status), the card drops off the board. View those in Applications → Credentialed filter.
