Enroll a payer for ERA + EFT delivery

For each payer: - ERA files arrive automatically in your clearinghouse (usually Availity) or your SFTP drop instead of you logging into a portal.

Updated · 5 min read · By the Credentik team

For: RCM Specialist (or Agency Owner during setup) · Time: 30–60 min of paperwork, then 2–6 weeks of waiting · Frequency: One-off per payer per practice

Trigger

You just signed on a new practice, OR you want to stop downloading 835 files from a per-payer portal and consolidate ERA delivery in one place (usually Availity). Both require a one-time enrollment per payer.

The trigger that surfaces in-app: opening a payer detail page and seeing era_status = not_enrolled or eft_status = not_enrolled. Or the Post an ERA playbook tells you to log into yet another portal to fetch a file — that's the cost of being un-enrolled.

Outcome

For each payer:

  • ERA files arrive automatically in your clearinghouse (usually Availity) or your SFTP drop instead of you logging into a portal.
  • EFT payments deposit directly into the practice's bank account in 1–3 days instead of waiting for paper checks.
  • The Credentik payer detail page shows era_status = active, eft_status = active with effective dates.

Where

Steps

Phase 1 — Pick the destination (5 min)

Decide where you want ERAs to land. Two viable options:

  1. Availity Essentials (recommended). Free for providers. Most major payers (BCBS plans, UHC, Aetna, Humana, Cigna) deliver ERAs into Availity natively. Medicare requires a CMS-588 form to redirect from SPOT.
  2. A paid clearinghouse (Change Healthcare, Office Ally, Stedi). Use when you need 277CA/277U claim status responses, eligibility automation, or batch submission features Availity doesn't cover. Adds a monthly subscription.

For most agencies on Credentik, Availity is the default.

Phase 2 — Set up Availity (one-time, agency-wide, 1 week)

  1. Register at availity.com → Register Now → Provider organization.
  2. Verify TIN ownership — Availity mails (or fast-tracks via fax) a verification code to the address on file with CMS for that Tax ID.
  3. Add NPIs — every NPI you bill under needs to be associated with the Availity account. The Authorized Official from your CMS enrollment can self-attest.
  4. Add Tax IDs — same drill: every Tax ID you bill under.
  5. Wait for approval — usually 3–5 business days once the verification code is in.

Phase 3 — Enroll each payer for ERA + EFT (2–6 weeks per payer, parallelizable)

Each payer has its own form, but the shape is the same. Availity hosts the forms for most commercial payers under My Providers → Enrollments.

VA Community Care (Optum VACCN)Optum VACCN portalOptum Pay4–6 weeks

For each form you submit, you'll need:

  • NPI (organizational, not individual unless billing as a solo provider)
  • Tax ID matching the one you bill claims under
  • Provider name + address matching CMS-855 enrollment exactly (a single character mismatch can reject the form)
  • PTAN (Medicare only — the 10-char Provider Transaction Access Number issued during initial Medicare enrollment)
  • Bank routing + account number for EFT
  • An Authorized Official signature — the same person who signed your initial CMS-855

Phase 4 — Switch from Remittance Viewer to EDI File Management

Once a payer's ERA enrollment is active in Availity, stop using the Remittance Viewer for that payer and start using EDI File Management instead. These are two different surfaces in the same product:

SurfaceWhat it isWhen to use
Remittance ViewerA formatted, paginated view of remits. 31-day window enforced. Designed for one-off claim lookup.Lookup a single check, dispute a denial, hand a remit to a practice admin
EDI File ManagementA flat list of every raw 835 file Availity has received on your behalf, accessible by file ID. No date cap. Designed for bulk download / system-to-system.Pulling complete ERA history into Credentik, monthly reconciliation, audit pulls

How to get there: Availity Essentials → My Providers → EDI File Management (some accounts label it File Pickup or EDI Reporting). If you don't see it, your account needs the EDI File Management role added — ask your Availity admin or contact Availity support.

Each file in EDI File Management has:

  • A file ID (Availity-assigned, e.g. ARV12345.835)
  • A received date (when Availity pulled it from the payer)
  • A payer + file type (835 ERA, 277CA acknowledgment, 277U status, etc.)
  • A size + record count

Download all the .835 files for the date range you need, drop them into Credentik via Post an ERA. Credentik dedupes by check/EFT trace number so re-uploading the same file is safe.

Phase 5 — Track status in Credentik (5 min per payer)

While forms are in flight, keep the Credentik payer record honest so the rest of the team knows what's enrolled:

  1. Open Payer detail for the payer you just enrolled.
  2. Master Data → Payers → edit:
    • edi_status → pending (form submitted, waiting for confirmation)
    • era_status → pending
    • eft_status → pending
    • edi_notes → submission date + form reference number
  3. When the payer confirms enrollment is live (you'll see the first ERA arrive in Availity):
    • Flip all three statuses to active
    • Fill in edi_effective_date / era_effective_date / eft_effective_date
  4. Add the payer's EDI Payer ID to payer_edi_codes if it's not there already — the code shown on Availity's enrollment confirmation is the one to use for that clearinghouse.

Watch-outs

  • Medicare ERA requires a SEPARATE CMS-588 form to redirect to Availity. Just enrolling in Availity is not enough. By default, Medicare ERAs land in your MAC's portal (SPOT for FL, Novitas for TX/NM/etc.). The CMS-588 changes the destination — your MAC must process it. Until then, keep pulling Medicare 835s from SPOT manually.
  • EFT enrollment requires a voided check (or bank letter on letterhead). Payers verify bank account ownership. A statement page won't cut it. Have one ready before you start the form.
  • Practice TIN ≠ Agency TIN. If you're billing under a client practice's Tax ID (the typical agency setup), the ERA enrollment is in the practice's name, signed by the practice's authorized official. The ERA will land in your Availity account but legally it's the practice's enrollment, not the agency's.
  • A single character mismatch rejects the form. "JANE DOE LLC" vs "Jane Doe, LLC" vs "Jane Doe LLC" — payers process these as three different entities. Pull the exact CMS-855 name from your records and copy-paste, don't retype.
  • Tricare / VA / Medicaid are slow. Set expectations: 6+ weeks is normal. Don't promise a practice they'll see Medicaid ERAs in 2 weeks.
  • Enrollment lapses on credential changes. When a practice changes its address or adds a new NPI, EFT enrollment can silently break. The first symptom is a Medicare check arriving by paper mail instead of EFT. Add a quarterly "verify EFT still active" check to your routine for high-volume payers.
  • Until enrollment is active, fetch manually. Don't let "pending" become an excuse to skip ERA posting — keep downloading from the payer portal and posting. Once enrollment lands, the manual step disappears.
